Executive Operations Manager

Full-Time | In Office | Portland Metro Area

Compensation: $85,000 - $105,000+ depending on experience

We are a growing remodeling/construction company looking for an unusually capable, organized, proactive operator to work directly alongside our owner/CEO. This is not a traditional Executive Assistant position. We are looking for someone who can take ideas, priorities, problems, meeting discussions, consultant recommendations, and strategic initiatives and turn them into organized projects that actually get completed.

Our CEO is strongest at vision, strategy, sales, identifying opportunities, solving high-level problems, and finding resources. Where we need help is translating those ideas into execution across the business.

Your job will be to help make sure the things we decide to do actually get done.

What You'll Do

You will work directly with the CEO and leadership team to:

  • Turn CEO ideas and leadership decisions into defined projects, owners, deadlines, and deliverables
  • Drive strategic initiatives through completion
  • Track company priorities and hold people accountable for commitments
  • Prepare for and help facilitate weekly leadership meetings
  • Maintain action-item, issue, and project-management systems
  • Follow up with team members until commitments are completed
  • Coordinate work between sales, production, finance, administration, and outside consultants
  • Document and improve company processes and SOPs
  • Interview employees to understand existing processes and identify gaps
  • Use AI and technology to accelerate documentation, research, analysis, and implementation
  • Build scorecards, dashboards, checklists, workflows, and accountability systems
  • Research software, vendors, employees, contractors, and business resources
  • Coordinate recruiting and onboarding initiatives
  • Identify recurring responsibilities currently handled by the CEO and help transition
  • them to other members of the organization
  • Protect the CEO's time by determining which issues truly need CEO involvement
  • Help create a company that becomes progressively less dependent on the owner

You may have previously worked as an:

  • Operations Manager
  • Executive Operations Manager
  • Chief of Staff
  • Senior Executive Assistant
  • Project Manager
  • Business Operations Manager

  • Implementation Manager

Titles matter less to us than capability.

You should be someone who:

  • Is exceptionally organized
  • Naturally creates structure from ambiguity
  • Is comfortable following up repeatedly until something gets finished
  • Can manage multiple projects simultaneously
  • Does not need the CEO to define every individual task
  • Can listen to a 30-minute discussion and turn it into an actionable project plan
  • Is comfortable communicating with managers and holding people accountable
  • Writes clearly and documents processes well
  • Learns software quickly
  • Is comfortable working directly with an entrepreneurial CEO
  • Has excellent judgment regarding what needs escalation and what you can solve yourself

Experience We're Particularly Interested In

Experience with any of the following is highly valuable:

  • EOS / Entrepreneurial Operating System
  • Traction / Level 10 meetings
  • Construction or remodeling
  • Home services
  • Project management
  • Process improvement
  • SOP development
  • CRM or project-management systems
  • AI tools
  • Recruiting
  • Small-business operations
  • Working directly with a founder, entrepreneur, or CEO
  • EOS experience is preferred but not required if you have a strong history of driving projects and accountability.

What Success Looks Like

After 6 - 12 months in this position:

  • Company initiatives are moving without constant CEO follow-up
  • Leadership commitments are tracked and completed
  • Processes are documented and implemented
  • Meetings consistently produce clear accountability
  • Fewer routine decisions and problems reach the CEO
  • Department leaders know what they own
  • Important projects no longer disappear after meetings
  • The CEO spends significantly more time on sales, strategy, relationships, and growth
  • The business is measurably less dependent on its owner
  • For the right person, this role can grow significantly.

Compensation & Benefits

  • Health insurance stipend
  • Paid time off
  • Positive and flexible work environment
  • Opportunity to grow within a respected local company
